    Hi!

I'm new around here. And I was wondering if anyone has come accross a situation like mine while trying to import files into outlook.
I had formatted my hard drive and made a back up of my mail
Now I'm finding it impossible to import it back.
I have unchecked the read only option while copying it back on the hard drive from the cd (Where ever I have searched...this is supposed to work)
But me still getting error messages

"Properties for this information service must be defined prior to use"

    and when i click ok

"....the file....outlook.pst is not a personal folders file'

    Help!

Try changing the .pst file to 'archive' then try to import.

OK, is this the import process you are using ?

    1. On the File menu, click Import And Export. If the menu item is not available, hover your pointer over the chevrons at the bottom of the menu, and then click Import and Export.

    2. Click Import from another program or file., and then click Next.

    3. Click Personal Folder File (.pst), and then click Next.

    4. Type the path and the name of the personal folders (.pst) file that you want to import, and then click Next.

    5. Select the folder that you want to import, or select the top of the hierarchy to import everything, and then click Finish.

that is exactly the method I'm trying to import..

only difference is after selecting the personal folder(pst) one has to select from three options
    1. replace duplicates with items imported
    2. allow duplicates to be created
    3. do not create duplicates
I choose the first option and then hit next ...

thats when i get the first error stating that properties have to be defined....

and an ok to this gives me the next error about it not being an pst file

I tried doing this in the administrator profile...

there is no problem with the whole process but when i open the recovered pst files....its empty! Besides i need to get this mail in my profile where i have the other subsequent mail i received since 9-11!

I use outlook2000 by the way

In Windows Explorer, on the Tools menu, click Folder Options. On the View tab, under Advanced Settings, under Files and Folders, under Hidden files and folders, click Show hidden files and folders. If you want to see all file name extensions, clear the Hide extensions for known file types check box under Files and Folders.

Try it now and see if this works.

    thank you steve...
but there is no folder options in the tools menu of the browser (windows explorer) I am on win 2000 by the way

..just wanted to add that inspite of giving my profile administrator rights, the same error messages appear

but they do not happen when logged on as administrator...
    ...this is getting complicated!

is there someother way to show hidden files if they really are hidden?
I dont think they are hidden as the properties for this folder shows 0 mb

    smell some thing fishY

I want to make sure you are checking in Windows Explorer not Internet Explorer (your browser).

Go to Start > Programs > in your list of programs you should see Windows Explorer > click on it and a window will open showing or giving you access to all the files on your computer. Check the Tools tab there for Folder Options.

not stepping on Steves toes but you may find that if the system controls that folder for any reason the size will say 0kbs... to make sure you would have to take ownership of that folder...

right click the folder > properties > security tab > Add > Advanced > Find Now > look for your user name in the list and highlight > click OK > OK

( ps w2k is the only MS OS I have not installed dispite owning it... so the instructions above are from doing it in XP pro )

you were right...I had confused windows explorer with the internet explorer!
But you know what i found there...that option was already checked at show hidden files and folders

    where to from here?

    Hi Halo!

Nice hairdo! Thanks for the reply...But those options are not there in w2k

now how do i wave that wand here?

...and Steve was wearing safety shoes so no ones hurt! ;)

I'm glad somebody is watching me, I am at a loss here.

You tried to import the .pst file from the CD, that didn't work. You copied the file to your hardrive and tried to import, samething happened. When you check the properties of the .pst folder that you copied to your HDD it says 0 mb.

Did you check the properties of the .pst folder on the CD to see what size it was showing before you copied it?

    Steve

The pst file measure 183 MB on the cd.
It measures the same on the desktop where i have copied it
I had also run scan pst on it..

Now where am i going wrong?

Is it neccessary to go to administrator profile to copy pst files into outlook?
that would be a problem as my other mail (that i have been recieving since the format is available only on my profile)

    Now for more head banging....

Now its not reading as a zero byte folder we can forget taking ownership... but have you checked that Read Only is not ticked in the .pst's properties?

    http://support.microsoft.com/?kbid=258468

and did Scanpst give you an all clear or was there any corruption?

is your OL2000 fully upto date will all service packs?

  15. pharoah_the_seventh

    pharoah_the_seventh Private E-2

scan pst did show errors. And what I tried to import after that was the scanned version which measured the same

    The read only is unchecked
    The archive is checked

How do i know if my os is uptodate?
I had recently downloaded a service pack

But what I'm unable to figure out here is why, even though I've given administrator rights to my profile, the error mentioned below appear...but this does not appear while logging in as administrator.

I willing to give it another try if somebody could give me detailed instructions as to the import procedure..... if it is not asking for much
Maybe I'm doing something wrong there.

To start with we have my files on a CD and they are slightly corrupted ...as scan pst revealed 2 errors. Now can someone lead me from here... :)

    Importing Email into Outlook

This tip guides you through importing email as Exported from Outlook in a .PST
    Format file.

    1. copy the file from CD (if on CD) onto your hard disk.
    2. right click on the .PST file on the hard disk.
    3. click on the 'Properties' folder.
    4. remove the 'Read Only' setting.

    1. ensure Outlook is running.
    2. click the 'File' menu then the 'Import and Export' option.
    3. scroll down and click on 'Import from another program' option.
    4. click 'Next' button.
    5. scroll down and click on 'Personal Folder File (*.pst)'.
    6. click 'Next' button.
    7. click on the 'Browse' button.
    8. locate the .PST file and click on it.
    9. select your preferred 'duplicates' option.
    10. click 'Next' button.
    11. click on Folder to import.
    12. ensure 'Include subfolders' is selected unless you have reasons not to.
    13. select folder to import into.

that is the exact process I had adopted...
    Only it doesnt get completed...
those errors pop up as mentioned in a previous post.

Thanks for the hope...but I'l like to know if i have to log on as administrator for this. Isn't it enough if I grant adminstrator status to my profile?
But this doesn't seem to work. Maybe I need to update on my service packs

can somebody give me a link to the w2k service pack updates..
..while i try some more exim policies!

thank you steve! lets hope something works out....I'll try again after the download.

by the way...do i download the express installation or the network (128 MB!) that will take the entire day!

I take it your on Dialup? if so use the Express Install as it will only install what you need rather than having to download the intire package.

when I mentioned updates.. I really ment Office Updates, as far as I know Office 2000 is upto service pack 3, you can check here for Office Updates http://office.microsoft.com/en-gb/officeupdate/default.aspx ( just click Check for Updates )

also how many times did you run the scanpst.exe tool? on reading up its a good thing to run this a few times.

This is the site i'm reading at present as it has alot of help for Outlook http://www.slipstick.com/problems/scanpst.htm

As you have given Admin rights to your user name, just out of curiosity check the permissions you have... right click the .pst file and click properties > security and look in the permissions box... do you have full control ( all the allow boxes ticked ) ?

I'm in the process of updating office...
Meanwhile, i am unable to find any permissions box in the properties of the pst..
what am i doing wrong now

  23. DavidGP

Dont think your doing anything wrong as you have followed the instructions that Steve posted to the letter....

you have the .pst file on your hard drive now? if so then open Outlook and goto File > Open > Outlook Data File .. a box will appear and you should see an Outlook.pst file alread there! > copy and paste that file somewhere else as a backup, then delete the one in the open box that you just copied as a backup. Then rename the .pst you are trying to install to just read Outlook.pst and then copy and paste that into the open box and click OK.

the outlook data file open box

Just a hunch that all you need to do if that backup has the .pst file extention is to have Outlook open/link to it. I hope thats clear... not got my east step-by-step head on today.

As for the permissions box it should be in the Security Tab of the files properties.

    http://img127.exs.cx/img127/3951/Capture-1.jpg
OK mines XP but Win2000 has similar setup

  24. pharoah_the_seventh

    pharoah_the_seventh Private E-2

ok i did what you have told me to do till checking for permissions.
I am not able to find any files in properties. It only says general.

"the open outlook data files" is "open personal files" in win 2000

I have found the first screen of your reply...not able to find the second screen titled
(As for the permissions box it should be in the Security Tab of the files properties)

yelp! waiting for you at screen one!

  25. DavidGP

DavidGP MajorGeeks Forum Administrator - Grand Pooh-Bah Staff Member

You may not have to change any permissions, I just wanted to show you where they are for me, to see the security tab in XP you have to goto Tools > Folder Options > View and near the bottowm untick "Use simple file sharing" as far as I remember w2k didnt have this!

From what I have read up on yerterday the first part of what I posted above should work for you as from what you have posted the backup file you have is a .pst and all you may need to do is to open it from within Outlook.

:) I did manage to follow your instructions....and a folder called recovered personal folders apperared in the menu on the side. But when i opened it....nothing! There were no mails in them! 0 memory used in properties....

  27. Matacumbie

    Matacumbie Rocky Top

OK. Did you ever get to the permissions to check your settings? If not, try this method and see if it gives you the Security Tab. If it does, you should get a Properties window that gives you a General and Security tab, just go by the instructions Halo gave you and see if you get a different result.

    1. From the Start menu, select Programs > Accessories > Windows Explorer
    OR
On the desktop, double click MY COMPUTER
    Windows Explorer opens.

    2. From the Folders listing on the left side of the screen, and select the appropriate drive and folder.
The contents of the selected folder will appear in the Contents list.

    3. From the updated Contents list on the right side of Explorer, and select the appropriate file.

    4. From the File menu, select Properties...
    The Properties dialog box appears.
    5. From the Properties dialog box, select the Security tab

    Dear Steve...
I did everything exactly as you said. When i clicked the properties of the file chosen, it had only one tab that said "general" I tried this in the administrator profile too...
Why am I not able to find the security tab? Do we have that option in W2K?

  29. Matacumbie

Yeah, I got that off a Windows 2K help site. Choose another folder and see what it shows.

ok, now i have another tab that says "sharing"
when i share it shows a tab called permissions
and in permissions everything is already checked.
Now the question is whether i should allow sharing for this folder?
I thought sharing folder was meant for computers in a network to see each others files...
Does this option have to be checked for copying files into outlook?
    and oh...another thing..
I tried to update my office...there were several updates available.
so i tried the latest one and it said something like the version was not found or something...
I did ensure it was office 2000
