Using Word to develop training Courseware...

    I do quite a bit of software/computer training as a IT Manager for a non-profit. I use Word to develop my training manuals/courseware.

    Does anyone have any good ideas on how to take the training manual and highlite areas or emphasize areas to help ME (the instructor) use the manual as a guide in my teaching the course, but the highlited and emphasized areas won't print when printing the manuals?

    In other words, I spent a week developing a training manual. But, for me to use it ... I have to take too much time being sure I don't miss any of the major points of the material. So, I'd like to use the Highlighter , Font colors, or similar features in Word to emphasize those areas ... but I only want to them to print for me ... when I print the manaul that I will use to conduct the training. Otherwise, I'd like to print the same training manual ... but tell Word to NOT Print the emphasized areas.

    Thoughts and suggestions? Am I going about it the wrong way?

    Why dont you make one higlighted copy for yourself and the other one for who ever could be plain to be printed out ( It's not that hard ) :)

    You could also copy and paste your manual into on document and highlight only one section. When you wanted to print the manual you would just select those pages.

    I know this is a VERY old post but just in case anyone else is looking for this information, Word allows the insertion of Hidden text and Comments which can be printed or not, as chosen, which should meet the needs of the original poster.

    TO INSERT HIDDEN TEXT, type in what you want in the place you want it and then highlight the text you just added using either the mouse or keyboard buttons. Next choose Format - Font and then on the Font tab, tick the box marked Hidden. Your text will be underlined with a green dotted line, or will have disappeared from sight if formatting characters aren't "turned on."

    TO TURN ON (SHOW) FORMATTING MARKS use one of these methods:
    On the menubar choose Tools - Options and then the View tab, then look for the section headed Formatting Marks and tick Hidden text, then press OK
    or
    just click on the thing that looks something like a back-to-front capital P in the toolbars, which turns on ALL formatting characters, including paragraph markers (the back-to-front P symbol), and spaces (dots in the middle of the line between the words) and tabs (arrows pointing to the right).

    TO INSERT COMMENTS, move the text cursor to the place where you want the comment to be inserted and then choose Insert - Comment and then type in the comment you want into the area that appears for that purpose. The area in your document where the comment has been inserted will appear faintly highlighted in yellow and also, if Comment viewing is turned on, it will have "S1" or "S2", etc. beside it.

    TO TURN ON COMMENT VIEWING choose View - Comments. Comments can also be viewed by resting the mouse pointer over the highlighting and waiting for the little pop-up to appear.

    TO PRINT OR NOT TO PRINT Hidden Text or Comments, choose File - Print and then click on the Options button. Select or deselect the things that you want and print away. You can also get to these options by choosing Tools - Options and then the Print tab.

    SOME FURTHER COMMENTS:
    • I think that the Comments feature is mainly used for collaborative work on a document so that different people can comment on changes they think should be made.
    • Comments can be deleted by placing the text cursor anywhere within the highlighted section of the comment and using the Delete button on the Review toolbar. If the review toolbar isn't showing, turn it on by choosing View - Toolbars - Reviewing.
    • As far as I know, highlighting or any other formatting can be applied to Hidden Text and will be printed if you choose to do so - this would make it very easy to make sure you can find the important points in your personalised copy of the manual. (Sorry I can't test this at the moment but our printer isn't working!)
