Email to users - Windows updates

Hey guys.....
I'm looking to send an email to all users at my company. I plan on using a maintenance window on Tuesdays and Thursdays between 8-10 pm for updates and server restarts. I would like to have users logged off and out of all systems during that time. I have European and Asia Pacific users, so this time-frame works well.

Any ideas on verbiage for the email? I will need to send this to a few hundred people, so I want it to sound professional. I've got an idea of what I want it to sound like, but google didn't provide any templates or ideas.

I know some of you must have done the same in the past.....

Basically i would keep short as possible to tell them what you are doing.

Like basically say some thing like:

The Servers are going to go down for route-en maintenance.

Please log off thank you.

If they do not comply kick them off.

Make sure you tell them the times and dates this will be happening.

 

This is what I came up with.....

Greetings,
The IT Department has created a schedule to patch our servers with updates from Microsoft. These updates are released for the Windows Operating Systems weekly. In an effort to be sure our systems are up to date and maintained at the highest level possible, we have set up a maintenance window that will occur twice a week.

Tuesday’s and Thursday’s from 8:00pm until 10:00pm will be the window in which this will take place. **** Servers will be updated and restarted without notice during this time so I urge you to complete your tasks before or after that window. This includes *********** as well as the Shared “F” drive.

If you have any concerns or questions, please let me know.

Make sure you tell the head people in charge on what you are updating this way you can back track any mess up if they have any complaints.Or all of the departments that use what ever operations you are updating.
